When you’re setting up a website or professional email for a small business, you’ll quickly come across terms like domain name, web hosting, DNS, SSL, business email, Google Workspace, Microsoft 365 and VPS hosting.
They can sound like separate, complicated IT services, but they all work together to form your business’s online presence.
I help small businesses across Perth set up and manage domains, websites, email and hosting, and a big part of my job is explaining how these systems fit together in plain English.
For most of the small-business environments I set up, I use VentraIP for domain registration, web hosting, VPS hosting and business email services, with Cloudflare handling DNS and SSL.
For businesses that need more than a basic mailbox, I can also set up Google Workspace or Microsoft 365 through VentraIP, while keeping the domain and DNS structure properly managed.
This guide explains what each part does, how they connect, and what a small business actually needs.
What Is a Domain Name and Why Does Your Business Need One?
Your domain name is your business’s address on the internet.
For Joe’s IT Solutions, for example, my domain is: joesitsolutions.com.au
People type that address into their browser to reach my website.
Think of your domain like the street address of a physical business. It tells people where to find you, but the address itself is not the building.
Your website still needs somewhere to live.
That is where hosting comes in.
A good business domain should ideally be:
- Easy to remember
- Easy to spell
- Closely related to your business name
- Suitable for invoices, vehicles, signage and advertising
- Suitable for professional business email
For Australian businesses, a .com.au domain is often the obvious choice.
Registering your domain early is also important. If another person registers the domain matching your business name before you do, getting it back can be difficult or sometimes impossible.
For my clients, I generally use VentraIP for domain registration.
What Is Web Hosting?
If your domain is your street address, web hosting is the building sitting at that address.
Your website contains files, images, databases, WordPress installations and other information.
Those files need to live on a server that is connected to the internet.
Web hosting provides that server space.
When somebody visits your domain, the internet effectively works out:
Where is the website for this domain stored?
It then sends the visitor to the appropriate hosting server.
For the websites I host and manage for clients, I use VentraIP web hosting.
For a normal small-business website, traditional web hosting is usually more than enough.
You do not automatically need an expensive server just because somebody tells you a VPS is “better”.
The right solution depends on what the website actually needs to do.
Using Your Domain Name for Professional Business Email
A domain is not just for your website.
It can also be used for professional email.
Instead of something like:

It is a small change, but it immediately makes a business look more established and professional.
It also means your business email is tied to your business domain rather than a generic free email address.
Depending on what the business actually needs, I can set up a few different options through VentraIP.
VentraIP Hosted Email
For businesses that simply need reliable email on their own domain, VentraIP hosted email can be a straightforward option.
It suits businesses that mainly need:
- Professional domain-based email
- Standard mailbox access
- Lower complexity
- A simple setup without a larger productivity suite
Google Workspace
For businesses that prefer Google’s ecosystem, Google Workspace can also be added through VentraIP.
It gives businesses access to tools such as:
- Gmail using your own business domain
- Google Drive
- Google Calendar
- Google Docs, Sheets and Slides
- Shared files and collaboration tools
This can be a good fit for businesses that already prefer Google services or want simple cloud-based collaboration.
Microsoft 365
For businesses that rely on Microsoft applications, Microsoft 365 can also be added through VentraIP.
Depending on the plan, this can include services such as:
- Outlook business email
- OneDrive
- Microsoft Teams
- Word
- Excel
- PowerPoint
- SharePoint
Microsoft 365 is often a strong fit for businesses already using Windows and Microsoft Office, especially where shared files, calendars and collaboration are important.
The right option depends on how your business works. I would rather recommend the platform that actually suits the business than put everyone onto the same system by default.
What Is DNS and How Does It Connect Your Domain and Website?
This is the part that tends to confuse people.
DNS stands for Domain Name System.
DNS connects your domain name to all the different services that use it.
For example, DNS can tell the internet:
- Where your website is hosted
- Which servers receive your email
- Which services are allowed to send email on your behalf
- Where a subdomain should point
- How other systems verify ownership of your domain
- You can think of DNS as the directory sitting behind your domain.
Your domain might be registered with VentraIP and your website might also be hosted with VentraIP, but something still needs to tell the internet how all of those pieces connect together.
For the environments I manage, I use Cloudflare for DNS.
Even where the domain, email and website hosting are all with VentraIP, I still put the DNS through Cloudflare.
This gives me one central place to manage the DNS configuration for the domain rather than relying on the web host to control everything.
DNS is also what connects your domain to VentraIP hosted email, Google Workspace or Microsoft 365.
That means your domain can remain registered with VentraIP, your DNS can stay managed through Cloudflare, and your chosen email platform can still use the same professional business domain.
What Is SSL and Why Does Your Business Website Need HTTPS?
SSL is what allows your website to use a secure HTTPS connection:
https://
instead of:
http://
Without SSL, information travelling between the visitor and your website may not be properly protected.
Modern business websites should be using HTTPS.
I use Cloudflare for DNS and SSL on the websites I configure.
Cloudflare sits between the visitor and the website and handles the public-facing connection to the site.
Apart from security, this also gives me a consistent way of configuring client websites regardless of what is happening behind the scenes.
So even though the website itself may be sitting on VentraIP hosting, visitors reach it through Cloudflare.
How I Set Up Domains, Hosting and Email for Small Businesses
For a straightforward small-business environment, my preferred structure looks something like this:
This keeps the setup relatively simple without putting absolutely everything under the control of one system.
VentraIP handles the services I commonly need – domain registration, web hosting, VPS hosting and email services – while Cloudflare handles the DNS layer and SSL.
The email platform can then be matched to what the client actually needs.
For most small businesses, that is a very sensible foundation.
Where Does VPS Hosting Fit In?
A VPS, or Virtual Private Server, is essentially a virtual server that gives you far more control than normal shared web hosting.
I also use VentraIP for VPS hosting when a project actually requires one.
But this is important:
Most small-business websites do not need a VPS.
A plumber, electrician, consultant, restaurant or local service business with a normal WordPress website probably does not need its own virtual server.
A VPS starts to make more sense when you need things like:
- Custom server applications
- More control over the operating environment
- Special software that normal web hosting cannot run
- Multiple services on the same server
- More advanced website infrastructure
- Custom databases or backend applications
- Development or testing environments
A VPS gives you more control, but that also means there is more to manage.
Updates, security, backups, software configuration and monitoring become much more important.
I would rather put a client on the simplest solution that properly meets their requirements than sell them infrastructure they do not need.
Shared Web Hosting vs VPS Hosting: Which Does Your Business Need?
For most small businesses, the choice is fairly straightforward.
Neither option is automatically “better”.
They solve different problems.
If all you need is a professional website telling customers who you are, what you do and how to contact you, normal web hosting is usually exactly what you need.
Why Your Business Needs to Keep Control of Its Domain Name
One problem I regularly see with small businesses is that nobody really knows who controls the domain.
The website might have been built five years ago.
The person who set it up has disappeared.
Nobody knows the login.
Nobody knows which email address owns the account.
Then suddenly the domain expires or the website needs to be moved.
Your domain is an important business asset.
You should know:
- Who the domain is registered with
- Which account owns it
- Which email address receives renewal notices
- When it renews
- Who has access
- Where the DNS is managed
The same applies to your hosting and business email.
I prefer keeping these systems documented and structured properly from the beginning rather than trying to untangle them during an outage several years later.
Your Domain Registration, Hosting and Email Do Not Have to Be With the Same Provider
Another misconception is that your domain must be registered with the same company hosting your website or email.
It does not.
They are separate services.
You could theoretically have your:
- Domain registered with one provider
- DNS managed by another
- Website hosted somewhere else
- Email hosted on a separate platform
Sometimes that is exactly what you want.
For most of the small businesses I look after, I prefer a clean and predictable structure rather than spreading services unnecessarily across multiple providers.
That is why I commonly use VentraIP for domain registration, web hosting, VPS hosting and email services, while using Cloudflare specifically for DNS and SSL.
If the client needs Google Workspace or Microsoft 365, those can be added through VentraIP while still fitting into the same overall structure.
Can You Move a Website or Email Platform Later?
Yes.
Your domain, website and email are separate enough that you can usually move individual services without rebuilding everything from scratch.
For example, you might keep your domain exactly where it is while moving your website to a different server.
DNS is then changed so that the domain points to the new location.
This is another reason I like having DNS managed separately through Cloudflare.
The domain itself does not need to move every time the website infrastructure changes.
The same principle applies to email.
A business might start with simple hosted email and later move to Google Workspace or Microsoft 365 while keeping exactly the same email addresses and domain name.
What About Website Security?
Buying hosting and installing WordPress does not automatically mean your website is secure forever.
Websites still need to be maintained.
Depending on the environment, this can include:
- WordPress updates
- Plugin updates
- Theme updates
- Backups
- SSL configuration
- DNS management
- Security monitoring
- Removing unused plugins and accounts
- Keeping administrative access secure
Cloudflare adds an important layer in front of the website, but it does not replace good website maintenance.
This is something I regularly help small-business clients manage.
What Happens When Something Goes Wrong?
This is where having somebody who understands the entire setup becomes useful.
A website problem is not always a “website problem”.
Sometimes the website itself is perfectly healthy.
The problem might actually be:
- DNS
- An expired domain
- Web hosting
- SSL
- Email authentication
- A WordPress plugin
- A database
- An incorrect DNS record
- A Cloudflare configuration
- A Google Workspace configuration
- A Microsoft 365 configuration
- An account or password issue
If your domain, DNS, hosting and email were all set up by different people at different times, troubleshooting can become unnecessarily complicated.
Part of what I do is work out which layer is actually causing the problem rather than randomly changing settings and hoping something starts working.
Do I Need a Website and Business Email?
Technically, no.
You can run a business from a social media page and a free email address.
But I would not recommend building your entire business presence around platforms you do not control.
Your domain belongs to your business.
Your website gives customers somewhere permanent to find information about you.
Your business email gives you a professional identity attached to that domain.
Even a relatively simple website containing your:
- Business information
- Services
- Service area
- Contact information
- Enquiry form
This can give potential customers somewhere reliable to verify that your business exists.
What Do I Recommend for Small Businesses?
For most Perth small businesses, I recommend keeping things simple.
You generally do not need enterprise infrastructure, complicated cloud architecture or an expensive VPS just to have a good website and professional email.
My usual approach is:
VentraIP for:
- Domain registration
- Web hosting
- VPS hosting when required
- Hosted business email
- Google Workspace when appropriate
- Microsoft 365 when appropriate
Cloudflare for:
- DNS
- SSL / HTTPS
- The public-facing layer between the internet and the website
From there, the actual website and email platform can be designed around what the business genuinely needs.
